Privacy Policy

Last updated: 1 June 2025  ·  Effective: 1 June 2025

Trust Squared (“we”, “us”, or “our”) is committed to protecting your personal information. This Privacy Policy explains what data we collect, how we use it, who we share it with, and what rights you have over it. It applies to all users of trust-squared.site and anyone who submits a contributor application.

1. Who We Are

Trust Squared operates the platform at trust-squared.site, which connects experienced professionals with AI training and data-annotation opportunities. For the purposes of data protection law, Trust Squared is the “data controller” for personal information collected through this website.

You can contact us about privacy matters at: support@trust-squared.site

2. Information We Collect

We collect the following categories of personal information when you apply to become a contributor:

  • Identity information: full legal name, date of birth confirmation (18+ age verification)
  • Contact information: email address, phone number
  • Location information: country of residence, state or city
  • Professional information: field of expertise, highest credential, career summary, LinkedIn profile URL
  • Financial eligibility context: years of professional experience
  • Identity documents: government-issued photo ID (driver's licence or passport — front and back), selfie photograph held alongside the document
  • Uploaded files: resume or CV in PDF format
  • Communication data: any messages you send to our support team

We also collect limited technical data automatically when you visit our website, including IP address, browser type, pages visited, and referring URL. This is used solely for security and site performance purposes.

3. How We Use Your Information

We use your personal information for the following purposes:

  • To review and process your contributor application
  • To verify your identity and confirm eligibility criteria
  • To contact you about the status of your application
  • To match you with appropriate AI training tasks based on your expertise
  • To comply with legal and regulatory obligations
  • To improve and maintain the security of our platform

We do not use your information for automated decision-making or profiling in a way that produces legal or similarly significant effects without human review.

4. Legal Basis for Processing

We process your personal data under the following legal bases:

  • Contractual necessity — to enter into and perform a contributor agreement with you
  • Legitimate interests — to verify that applicants meet eligibility requirements and to maintain the security and integrity of our platform
  • Consent — for processing your identity documents; you may withdraw consent at any time (see Section 9)
  • Legal obligation — where we are required to retain or disclose information by law

5. How We Store and Protect Your Data

All files you upload (identity documents, selfies, resumes) are transmitted over encrypted HTTPS connections and stored in Backblaze B2 cloud storage using AES-256 server-side encryption at rest. Access is restricted to authorised Trust Squared personnel only.

Your application data is stored in a secure, access-controlled MongoDB database. Database credentials are rotated regularly and access is logged.

We retain your personal data for as long as necessary to fulfil the purposes described in this policy, or as required by law. If your application is unsuccessful, we retain your data for a maximum of 12 months, after which it is permanently deleted.

6. Who We Share Your Data With

We do not sell your personal data. We may share it only with:

  • Cloud infrastructure providers (Backblaze B2 for file storage, MongoDB Atlas for database) — these are processors acting under our instruction
  • AI training platform partners — only your professional background and expertise summary, never your identity documents, and only if your application is approved and you have agreed to work with that partner
  • Law enforcement or regulatory authorities — only where required by law or to protect the rights and safety of others

7. International Transfers

Your data may be stored and processed in the United States. Where we transfer personal data from the United Kingdom or European Economic Area to countries outside those regions, we ensure appropriate safeguards are in place, including Standard Contractual Clauses approved by the relevant supervisory authority.

8. Cookies and Tracking

Our website uses only strictly necessary cookies — a session cookie used for admin authentication. We do not use advertising cookies, tracking pixels, or third-party analytics services. No cookies are set for regular visitors browsing the site.

9. Your Rights

Depending on your location, you have the following rights over your personal data:

  • Right of access — to obtain a copy of the personal data we hold about you
  • Right to rectification — to have inaccurate data corrected
  • Right to erasure — to request deletion of your data (subject to legal obligations)
  • Right to restrict processing — to limit how we use your data in certain circumstances
  • Right to data portability — to receive your data in a structured, machine-readable format
  • Right to object — to processing based on legitimate interests
  • Right to withdraw consent — at any time, for processing based on consent (e.g. identity document processing)

To exercise any of these rights, email us at support@trust-squared.site. We will respond within 30 days.

If you are located in the UK or EU, you also have the right to lodge a complaint with your local supervisory authority (ICO in the UK; your national data protection authority in the EU).

10. Children's Privacy

Our platform is not directed at individuals under the age of 18. We do not knowingly collect personal data from anyone under 18. If you believe we have inadvertently collected data from a minor, please contact us immediately.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date at the top of this page. For material changes, we will notify applicants and contributors by email where possible. Continued use of the platform after changes constitutes acceptance of the updated policy.
